Keep front desk tidy and presentable with all necessary amenities; Greeting walk-in visitor and other visitors and if required escorting them to specific destinations;
Respond to visitor's questions professionally and courteously;
Note the particulars of visitors in the visitor's sheet;
Assist the visitors in meeting the intended person.
Receive telephone calls and connect them to concerned individuals;
Connect assigned outgoing calls / telephone numbers;
Maintain a record of all in-coming and out-going calls on prescribed format;
Operate and maintain office machines including printers, copiers, and fax;
Keep records of weekly summary of telephone calls to entire staff for determining official/private status of calls. Send a copy of the same to HOD (Administration).
Draft, review and proofread office documents if required;
Receive the procure items if required;
Perform basic data entry when needed.
Provide basic information about the organization and direct the visitor where to go;
Needs to query the visitors where they want to visit and communicate with the concern person regarding visit.
Keeps his or her eye who is coming and going and if anything suspicious need to report;
Maintain a logbook of visitors;
Issuing guest ID card and demonstrate how to use ID card to open the door.
All incoming official and private or confidential mail needs to receive and send to the respective individual without opening the letter;
Coordinate to send all outgoing mail to the respective zone office, regional office, branch office and donor office etc.; Maintain logbook for all incoming and outgoing mail.
